Executive Assistant to the CEO


Location: Dauphin, Manitoba 

Full-time: 40 hours/week 

Proposed Start Date: Immediately, based on availability. 


As Executive Assistant to the CEO, this person will be responsible for contributing to the mission of SciMar and the Wellness Transformation Network.

This person will work directly with, and report to, the CEO of SciMar and will provide the following:

  1. Administrative, logistical, and project-based support to the CEO & SciMar’s Dauphin Office, including:
  • Initiating, drafting, and preparing confidential documents, correspondence, reports, and emails;
  • Scheduling/calendar management;
  • Coordinating (including planning, design, and delivery) special events and meetings;
  • Taking and transcribing meeting minutes;
  • Supporting financial administration (including processing claims, invoices, cheques, etc.);
  • Providing leadership and support for special projects in the areas of policy development; admin system development; media initiatives (newsletters, social media); grant research and applications; etc.;
  • Supporting CEO’s involvement in the community, including with community boards, and local initiatives and projects such as co-working space initiative, incubator projects, wellness initiatives etc.;
  • Office management including organization, paper and electronic filing;
  • Appropriate, periodic, personal logistics support
  • With the above list as examples of key areas of focus, “Other Duties as Assigned” include any appropriate task or project that supports and assists the CEO.  


You and Your Experience:

  • You have previous experience as an Executive Assistant, Project Manager, or Office Manager.  
  • You have some form of post-secondary education or relevant work experience.
  • You are an engaged and active member of your community with volunteer or board experience. 
  • You are charismatic, good with people, and enjoy working on a team. 
  • You take pride in producing high quality and high value work. 
  • You have Microsoft office skills as well as a variety of creative design and project management platforms. 
  • You are efficient, show initiative and take ownership of your work.  
  • You pay careful attention to detail; 
  • You thrive in a fast-paced environment with competing priorities and deadlines;
  • You are confident in dealing with senior leaders, government officials, and the general public with tact and diplomacy.
  • You have the passion and enthusiasm to help make a difference in the community.
  • You have flexible availability and can travel occasionally.
